Despite a long history of using Odoo, AEIDL faced limitations that hindered its productivity:
Critical dependence on manual spreadsheets: Budget monitoring was conducted in complex Excel files isolated from the ERP, creating a risk of financial data misalignment.
Institutional reporting requirements: The need to produce flawless timesheets to pass stringent audits by European authorities.
Fragmentation of HR and financial flows: The need to unify expense management, approval cycles, and analytical accounting to provide real-time visibility.
Technical obsolescence: The necessity to migrate to Odoo V18 to standardize processes and eliminate heavy custom developments.
The Idealis Solution
1. Digitalizing Budget Monitoring via Odoo Spreadsheets
The major innovation of this project lies in moving away from external Excel files in favor of the Spreadsheets tool integrated into Odoo. Idealis recreated AEIDL’s complex calculation logic directly within the ERP. Now, project budgets update automatically based on recorded services and purchases. This workflow ensures a "single version of the truth" for all managers.
2. Compliance and Reporting Automation
To secure the association’s European funding, we configured Timesheets and Analytical reports according to the Commission's exact standards. This automation transforms a once-dreaded administrative task into a simple, secure process, ensuring the reliability of financial audits.
3. Administrative Agility and Collaborative Fluidity
Idealis implemented digital approval circuits to structure internal workflows. Whether validating an expense claim or a purchase request, everything happens within Odoo. Using the Helpdesk module for HR provides a single entry point for employees, modernizing their experience while freeing up valuable time for strategic management.
